Lesson 1 – Locating a Catalogue Item

Getting Started

 To open the RedBook Catalogue Lookup window

1 Click the Start button on the Windows taskbar and point to Programs. Move down the list of programs listed in the Programs menu until you see an entry for Winpriser 2.x. (x could be 5, 6, 7 etc) The arrow to the right of the Winpriser 2.x entry indicates that there exists an additional sub-menu of items. Move down this sub-menu and release the left mouse button when the Winpriser 2.x menu option has been highlighted. After a few moments, Winpriser’s main menu will appear.

OR

The Winpriser Installation will have created a shortcut icon on your Windows desktop. Double click on the Winpriser 2.x (x could be 5, 6, 7 etc) shortcut icon to start Winpriser. If you need to create your own shortcut to Winpriser, please consult your Windows documentation on how to create a shortcut for an application. The Winpriser file name as it would appear in the Windows Explorer is Winpriser20.EXE.

2 Each of Winpriser’s main program modules is displayed as a toolbar icon on Winpriser’s main window.

To begin using the Catalogue Lookup features of Winpriser, click on the Catalogues icon.

OR

 

Select the File | Open Price Catalogue menu option from the Winpriser main menu:

The Open Catalogue dialog window will appear on your monitor.

The Open Catalogue dialog window displays all of the Winpriser price catalogues that have been activated on your system. Some of these price catalogues may be Allpriser publications and some may be user created supplement price catalogues that you have created. Click on the RedBook catalogue icon, and then click on the Open button to open the highlighted price catalogue.

3 Once a price catalogue has been selected from the Open Catalogue dialog window, the database files for that price catalogue will be opened.

The first time that Winpriser is used, various system files and price database files must be initialized. This initialization process may take a few minutes – please be patient.

The top left corner of RedBook Catalogue Lookup window should now look something like this:

Each tab in the Catalogue Lookup window selects a different view of the opened price catalogue – in this case the RedBook price catalogue. With each view, a different tab window is presented that contains specialized controls for locating product items within that view. In this lesson you will be using the Group, Type, and Page tabs. The other tabs shown in this window are described in subsequent lessons. For a discussion of the Text Search and Shortcut tabs please refer to the appropriate lesson in this tutorial.

 

 Locating a Product Item by Group

One of the ways that Winpriser catalogue items are organized is by Product Group. Items that are unique to a manufacturer are listed under that manufacturer’s group name. Generic items such as pipe and fittings are listed under a generic group name (i.e. ABS/DWV Fittings).

To find an item by Group:

1 Click on the Group tab

 

2 We are interested in locating a 1 inch Copper CXCXC Wrot Tee.

Scroll down the list of groups until you see a group called COPPER PRESSURE FTGS. Click on the + symbol next to the group description COPPER PRESSURE FTGS.

When the COPPER PRESSURE FTGS group is expanded, a list of product components linked to the COPPER PRESSURE FTGS group will be shown below the COPPER PRESSURE FTGS description.

3 In this particular example, the COPPER PRESSURE FTGS component list contains size descriptions. If a product component is "sized", a + symbol will appear next to the product component’s description. When a sized component is expanded, by clicking on the + symbol next to the component’s description, all the available sizes for that component will be made visible and listed below the component description.

Scroll down the component list and click on the + symbol next to the component description "COP/PRES TEE WROT PRESS CXCXC" to reveal the available sizes for the COP/PRES TEE WROT PRESS CXCXC component.

4 From the list of available sizes, select the 1" size description. As you select this size entry, the right side of the Catalogue Lookup window will be refreshed to show you detail about the product item that you selected. Later on, as you work with the Catalogue Lookup window, you will notice that, for product items that are not sized, the right side of the screen is refreshed for each "non-sized" component selected.

5 Catalogue Detail window:

The right side of the Catalogue Lookup screen contains detailed information about the currently selected catalogue item. You can control the content of this window area by selecting from a list of "Views". This list of views can be accessed from the View Selection box at the top right corner of the Catalogue

from a local popup menu.

Click on the detail window with the right mouse button to activate the local popup menu.

The default view, "Normal Properties", displays basic information about the currently selected product item:

 

The "Resale Pricing Properties" view provides information on your supplier’s discount and markups assigned to the current catalogue item. Price extensions are calculated for each different kind of sub-total.

 Multiple discount rates can be assigned to the same catalogue item from different suppliers.

 

 Quoted net prices from multiple wholsalers can be assigned to catalogue items.

This view gives you a comprehensive summary of the "best priced" supplier for a specific product item:

The "Resale Pricing Properties" view also displays information about quoted net prices that you have entered for catalogue items.

For those using a List Price/Markdown pricing scenario, the "Trade Pricing Properties" view lets you take a look at all the different markdowns that you may have assigned to the current catalogue item. Again, as with discounts, you can assign multiple markdowns to the same catalogue item.

The "Labour Units Properties" view provides information on your labour unit (time to install) assignments and allows you to create and edit labour assignments for the selected catalogue item:

6 Focusing our attention back to the Catalogue Lookup search tab again, click on the F2-Search toolbar button to select Advanced Text Search, as below:

The following Advanced Text Search dialog appears:

The Advanced Text Search dialog box is used to quickly locate component descriptions that meet some specific search condition. In our case, we could have created a shorter search list of Copper Tees by simply entering the text key "TEE" in this window’s Search Key field.

Type into the Search Key field the text "TEE" and press the Enter key on your keyboard:

The Matches list box will be refreshed with component descriptions that all contain the word "TEE". As you can see, finding the specific type of Copper Tee that you are looking for is much easier:

If the results that you have obtained by specifying "TEE" as your search key are not as accurate as you would like them to be, you can further qualify the search key by combining your original key with another word.

Type into the "Key" field the text key "TEE, CXCXC" and press the Enter key on your keyboard:

The Matches list box will be refreshed with component descriptions that all contain the word "TEE" and the word "CXCXC". Again, this is a much more manageable list to work with:

From this smaller list, click on the + symbol next to the component description "COP/PRES TEE WROT PRESS CXCXC". A list of sizes available for the component will become visible. Click on the 1" size description. As you click on a size description, the Apply button becomes enabled.

When you click on the Apply button or double-click on the size description, the main Catalogue Lookup window will be refreshed showing you the selected catalogue item as found in the active Catalogue Lookup tab window.

The Advanced Text Search window will remain visible and continue to be displayed on top of the Catalogue Lookup window. If you want to remove the Advanced Text Search window from view, then click on the X symbol in the window’s caption.

 

 Locating a Product Item by Type

Product Type brings similar items from different manufacturers together under a Product Type heading. Therefore all items of a type (i.e. Ball Valves) can be seen together.

To find an item by Product Type:

1 Click on the Type tab

2 The Type tab window is very similar to the Group tab window that was discussed in Locating a Product Item by Group, above. This tab displays a list of all the Product Types in the current price catalogue:

 

Clicking on the + sign beside a Product Type in the "tree view" will reveal a list of all the product components of that Product Type. Expanding a component from the list of components (clicking +), displays a list of all sizes for that component:

 Locating a Product Item by Page Number

Many Winpriser users have subscribed to our Allpriser printed Price Guide for several years. During that time they have come to know the Price Guide page numbers for many common items. To find an item by page number:

1 Click on the Page tab

2 The Page tab window is identical to the Group tab window with one exception, the displayed list contains references to all the page numbers in the current price catalogue:

Expanding a Page Number from the Page "tree view" list (+ sign) will display a list of all the product components found on that Page. Expanding a component (+ sign) will show the available sizes for that component:
